September 2018 - D5 2019 Convention Planning Minutes
Dear KAC D5 2019 Convention Planning Committee,
Here's a summary of September's meeting.
Minutes September 8, 2018
Pre-Convention Planning Session
The meeting was called to order at 12:30 by Diane Wahto, Committee Co-chair. Several committee members were absent today for Local Author Day at the Wichita City Library.
Ann Fell reported on speakers for the 2019 Convention. She had previously emailed some information on speakers. It looks like things are shaping up nicely.
Clare Vanderpool will present at the Saturday luncheon: Books I have loved, and I Swear Loved Me Back.
Paul Bishop, our Saturday Keynote speaker: When World Collide. Mr. Bishop was a detective with the Los Angeles Police Department for thirty-five years, and during that time he also wrote several novels. What happens when the cop and the writer inevitably crash into each other?
Michael Graves recently retired from Emporia State University, where he taught Intensive English to international students and TESOL (Teaching English to Speakers of Other Languages). He has written two detective novels set in 1937 Wichita. He has suggested a Saturday afternoon trolley tour which will take us to historical Wichita to places mentioned in his novels, and we are working on that.
In addition to these, other workshop presenters include Clare Caterer, April Pameticky, H.B.Berlow, and Kevin Rabas. Another possible presenter is Curt Bohling, Diane’s son-in-law who has been a prosecutor and judge and might offer a workshop on courtroom procedures.
Ann also mentioned her concern that we decide now how to publicize the 2019 Convention at the 2018 Convention in Salina the first weekend of October. She had an idea for a skit with a couple of avid fishermen (with fishing poles, tackle boxes, and “bait.”) to catch people in attendance at the 2018 meeting for 2019. Sandee will work with her on this.
Cindi Kerr offered that she is hoping we can sell sponsorship for all the speakers. She also told us that 2019 would be her last year as KAC Blogger and Website editor. She offered to train the person who would volunteer to replace her in 2020.
The committee decided that we need to consult Visit Wichita to arrange a trolley tour of the sites mentioned in Michael Graves’ novels. Diane will take the list of sites to Visit Wichita. Also discussed was the possible need for more than one trolley to complete the tour within the allotted time
Sandee Taylor said that she had been unable to speak with Sheila McCray, who wanted to help on the program committee, but now is undergoing cancer treatment and has been quite ill. Sandee recommended that Sheila be released from the committee to relieve her of the pressures and allow her to relax in her treatment regimen, and we all agreed.
Regarding the programs, the committee approved the rough draft of the complete program that Sandee presented. The decision was unanimous for full color printing. The committee decided not to use business card ads for the program, but those will form the placemats for the Saturday night banquet. The placemats will also be in full color. Sandee needs all items submitted to her as soon as possible, and “only digitally at ‘good DPI.’ ” The “Drop Dead Date” to get placemats to the printer will be August 1, 2019, and the Drop Dead Date for the entire program will be September 1, 2019.
Paul Bishop has offered “speed dating for writers.,” During the convention, he will offer consultations. Writers are invited to present to him the first five pages of their manuscript “to battle the red pen.”
After discussion, the committee decided to raffle off “speed dating” tickets, with the drawing at the Saturday 8:00 AM Board meeting, and individuals must be present at the drawing to win. Interested individuals can purchase tickets online through Submittable. (Cindi believes that Tracy McMillion can set this up for us). This eliminates the cost of printing tickets, and only the names of those who had confirmed ticket purchases would go into the drawings.
Bob Dean mentioned the need to get information from speakers on any tech help they would need for their presentations, and Cindi offered to draft a letter to go out to each speaker.
We must confirm our meal choices SOON. Roy Beckemeyer, Susan Howell, and Cindi Kerr will get together with the hotel regarding food choices this month. We will need to decide on food choices and costs to build the registration forms.
We will order 2400 bookmarks for advertising at the 2018 Convention in Salina.
Bob Dean asked us to publicise the Epistrophe event at the new Wichita Library at the Convention in Salina, since the Convention is October 5-7 and the Epistrophe event is
scheduled for October 21st.
The Convention Scheduling Committee will meet in January of 2019 to finalize the schedule so that it can be publicized and printed by June.
The meeting adjourned at 1:30 PM. We will continue meeting monthly before the Dist. 5 meeting.
Respectfully Submitted,
Connie White, Secretary
