Dear KAC D5 2019 Convention Planning Committee,
Here's a summary of May's meeting.
Minutes May 12, 2018
Pre-Convention Planning Session
Connie White, Convention Co-chair, led the meeting in Diane Wahto’s absence.
The purpose of this planning meeting was to discuss proposed budgets for each sub-committee. According to Ray “Griz” Racobs, the D5 Treasurer, we currently have $6,453 in the bank after paying the deposit to the hotel.
Proposed budgets by category:
Speakers – Ann Fell: $3500 total, broken down to $1500 for keynote speakers, $500 for Clare Vanderpool, $1500 for other speaker costs. We are planning on a total of around 20 speakers, with 12 for workshops and keynotes and 9 – 10 for panels.
Registration – Roy Beckemeyer: $100 total for name tags, etc.
Signage – Neel Holler: they are provided by the hotel at no additional cost
Hotel – Susan Howell: a minimum of $12,400
Technologist & Sound – Bob Dean: $200 for musicians for “Poetry & Music”
Program design, transportation, and photography did not have proposed budgets to submit
An initial $2000 was approved for the speakers budget so that Ann Fell could approach Clare Vanderpool and the keynote speakers to get them locked down. The $200 for “Poetry & Music” was also approved so that Bob Dean could confirm the musicians.
Committees Still Needing Contacts:
The following committees still need contact people: Advertising & PR (Cindi Kerr volunteered to start this committee as long as she has help for 2019); Vendors, Sponsors, and Silent Auction
Roy Beckemeyer raised concerns about the necessary registration price vs. the shrinking of the KAC statewide membership. The costs for the 2013 KAC Convention were $11,383 and the income from that convention, including fundraisers, was $15,454.
Connie White requested that everyone look up small town celebrations between now and 2019 so that we can spread the word and increase membership. We are to bring ideas to the next 2019 Convention Planning meeting on June 9, 2018.
