The meeting was called to order at 12:15 PM by Diane Wahto, co-chair. Committee reports were updated as follows:
Speakers: (Ann Fell): Ann reported that she is in the process of adding another speaker to our program. Also, a class, “Capturing the Poetic Moment,” will be team-taught by Ronda Miller KAC State President and Diane Wahto, KAC District 5 President. Ann also reminded us that she is seeking people to introduce speakers at the convention.
Registration: (Roy Beckemeyer): Roy reported that he has only received six registration forms to date. We need to begin receiving registrations to pay our hotel fees timely. Those fees include room rentals and meal costs. Roy reminded us that the contract states we will pay 50% of our estimated hotel expenses this week, with another 25% due in August, and the remaining estimated 25% due by September 1. Based on a projected attendance of 50 people, total fees are estimated at $8,000, with an estimated $8600 due for a projected attendance of 75 registrants. After discussion, Ray (Griz) Racobs will, on June 10, pay the hotel $4,000 to secure the Convention site. We will be encouraging members to please get their registration forms in as soon as possible.
Advertising: (Connie White): Connie brought copies of the sales invoice that members may copy for their use in obtaining advertising. Prices were discussed again and felt to be fair pricing for advertising and would raise the money adequate for KAC District 5’s needs for the convention. Connie received an envelope from an anonymous donor with checks to cover two half-page ads in the program. Griz reminded us to ask donors for items for silent auction (examples: chiropractic treatment or massage, oil change or other premium from their business, as well as items such as free soft drinks from fast-food shops, etc.)
Program: Sandee Taylor: Sandee was absent today, but delivered a report that the program is essentially finished, though it will need some “tweaks” as time for the convention draws nearer.
Trolley Tour: The exact route is being revised, but the Trolley is reserved. There will only be one trolley, since Michael Graves will be our tour narrator, based on his novels. There is a limit of 30 passengers, so “tickets” will be on a first-come, first-served basis.
Achievement awards: Diane notes that members need to nominate members for KAC Awards of Merit. Awards are presented for achievement in writing, service to the club, or for a “special accomplishment.” The deadline for nominations is July 1, 2019, and a nomination form can be found in the 2019 KAC Yearbook in Appendix G, page xiv.
