KAC Convention Planning

It was decided to change convention fees for students to $100.00 for the whole convention, and to $75.00 if they want to attend the workshops only. Banquet and Sunday luncheon fees will remain as quoted.
There was discussion about expanding meal options, but the consensus was to go with December’s decision to limit meals to three options.
Sandee Taylor stated that Adeas Printing, 719 S. St Francis, Wichita, quoted a price of $156 + tax for 1,000 brochures. After agreement by the committee, she will have those printed and bring them to the March planning session.
We have a “Poetry and Music” presentation and Roy Beckemeyer proposed discussion as to how to “blind” the submissions. Roy will be the judge, and Connie White agreed to receive the submissions and pass them on to Roy minus any identifiers of the author.
Ray Racobs discussed possibilities to charge out books from several different authors in the bookroom. It was decided that this can be done with a “square card reader” with money deposited to the KAC Dist. 5 account and then checks written from the KAC account to the
Individual authors.
Ann Fell (Speakers) had several concerns:
1) We need to request from the presenters their individual needs for electronic equipment such as projectors, screens, microphones, etc. Taylor Stucky offered to help with this.
2) Presenters will want to present their traditionally-published books in the bookroom, and we will need to order these through Watermark Books. Ann will forward a spreadsheet of authors and their books to Taylor so that he can assist with this.
3) Presenters need to provide a digital copy of their handouts so that attendees who wish to do so may download them.
Ann also encouraged us to begin NOW to publicize the convention by sharing the Dist. 5 blog to our Facebook page, stating that this costs nothing and is a great way to get the invitation out. She encouraged us to send it digitally to libraries around the state so that they can make the information available in the various communities as well.
Connie White will be meeting with Cindi Kerr this month to discuss ways and means to advertise and market (sell ads, obtain silent auction services or gifts, etc.)
