April 2017 - District 5 Board Minutes
Dear KAC District 5 Members,
Here's a summary of April's District 5 Board meeting.
Minutes April 8, 2017
The meeting was called to order by Diane Wahto, President, at 12:30 PM. Those present were Roy Beckemeyer, Diane Wahto, Ray Racobs, Conrad Jestmore, Connie White, Gretchen Eick, and Cindi Kerr.
Treasurer’s Report: Ray Racobs stated our amount in the account at this time is $7,043.23. He has another check to deposit for $31.00, and also states that we will be sending two checks of $87.50 for the accompanying musicians at our Evening of Poetry and Music on April 11 at the Fisch Haus.
Update on Evening of Poetry and Music: Roy reported that this was a “juried” program, which received 50 entries that were judged by three judges. There were twenty poems selected, by thirteen poets. Each poet will read his/her poem once unaccompanied, and then a second time accompanied by Von Hansen with Percussion and Susan Mayo on cello. There will be a display of books for sale by the poets, and also a chat time after the session for book sales/signing and to talk with musicians.
Budget: Diane listed some items she feels need to be covered in the upcoming budget: After discussion, we decided on some initial figures for an annual budget.
Other discussion included necessity of reminders to bring treats each month. Cindi stated that she did publish that reminder in red in the blog this time with the meeting reminder, and Connie also sent e-mail reminders to those responsible. It was agreed that this will be good practice in the future.
Susan Howell, an “unofficial member” of the board by virtue of being our resident representative from Larksfield, told us that she has arranged for our meeting on May 12 to be held in the auditorium at the east side of Larksfield Place. Our program will be the Kansas Humanities Council meeting. After discussion, it was felt that a projector would not be needed, but a sound system will be provided. Susan is arranging promotional announcements for this meeting on the WSU calendar, Active Age, Community Voice, and she will also be contacting other writer’s groups in the local area. She is hoping to get it advertised on the Larksfield calendar, Larksfield’s website, and also on the KAC Facebook page.
The Board meeting adjourned at 1:20 PM.
Connie White, Secretary

Budget: Diane listed some items she feels need to be covered in the upcoming budget: After discussion, we decided on some initial figures for an annual budget.
- Advertising, though there are several means to advertise which do not charge.
- Speaker honorariums – After discussion it was moved by Gretchen and seconded by Cindi that we budget $25 for all speakers at our meetings, including if there are multiple speakers at a session. This passed unanimously, with an annual budget of around $400 for this.
- Snack supplies for the meetings. Members volunteer to bring treats for the meeting, but we need to provide plates, cups, coffee, etc. After discussion, we will budget $200 for this.
